Define to download
What Takarda does between a description of the fields you want and the file you download: define, upload, read, check, fix and download.
Six steps
01 Define
Pick a ready field list, or start blank. Name the fields you want. For each one, write a short description of what to look for and a typical value. A field can be text, a number, money, a date, yes or no, or a list with columns of its own. You can also say which sums must add up, and switch on options for tables, handwriting, ticked boxes, one row for each page of a PDF, or reading only some pages.
02 Upload
PDFs, scans, phone photos, Word and text files, one file or a whole folder. Each file can have up to 100 pages and be up to 20 MB, and up to 50 files go in at once. Takarda turns each page upright, straightens a tilted photo, and tells you to take a picture again if it is too blurry or dark to read. Your original is kept as it came.
03 Read
It reads the page for every field you named and copies the value as printed. A value it cannot find reads Not on the page. Takarda AI is built not to add a value the page does not show. Each file becomes one row, and each value gets a box on the page.
04 Check
Checks find required values that are missing, numbers and dates that cannot be read, sums that do not add up, and the same file uploaded twice. A check marks the value and says why. It never changes the value. The purchase order field list adds 23 more checks.
05 Fix
Open a file and see the document beside its values. Click a value and its box lights up on the page. Correct a misread, or keep the printed value and say why, because the paper itself may be wrong. Every change is logged beside the original reading. Then confirm the file. Warnings stay visible, and the confirm window lists them.
06 Download
Choose Excel, CSV or JSON, and which files go in. By default that is every confirmed file you have not downloaded yet. A list such as invoice lines can be spread so every line has its own row. Only confirmed files go in, so nothing you have not looked at leaves.
Status words
One set of words, each with an icon, never colour alone.
Found on the page, and it passes every check.
Worth a look. The photo is poor, the writing is by hand, or a check has a warning.
The page does not show it, so nothing is filled in.
Two printed numbers disagree, or the numbers do not add up.
A person changed it. The original reading stays beside the change.
A person looked at it and kept it.

Questions
Yes. Takarda turns it upright and straightens it before reading. If it is too dark or blurry to read well, the page says to take it again.
Switch on Split pages in the field list. Each page of the PDF then becomes its own row.
Yes. Set the first and last page in the field list. Takarda reads only those pages.
Switch on Tables in the field list and list fields are read as tables. Takarda collects the rows from every page of the file.
Yes. An admin can reopen a file and change a value. The confirmed reading stays in the log, and the next download names the version it holds.
Yes. Reading again uses the new version of the field list. It is free, 3 times a day for each file, and it never overwrites a value you corrected.
